This notice explains how Hapi Pools uses personal information when you contact us, request an assessment or become a customer. Hapi Pools is the trading name of Marc Warner, a sole trader, and is the controller of the information described below.
Information we collect
We may collect your name, telephone number, email address, pool postcode, customer type, project information, cover details, photographs, videos, correspondence, quotation and service history, and information needed to manage payments and customer records.
How we use it
- To respond to enquiries and arrange assessments.
- To prepare quotations and deliver renovation, engineering and Cover Care services.
- To maintain Cover Passport, inspection and service records.
- To administer payments, accounts, warranties and legal obligations.
- To protect our business and customers against fraud, misuse and legal claims.
Our lawful bases
We normally process information because it is necessary to take steps at your request before entering a contract, to perform a contract, to meet a legal obligation, or for our legitimate interests in operating and protecting the business. Where consent is required, you may withdraw it at any time.
Who receives information
Information may be handled by carefully selected providers supporting website hosting, email, customer management, accounting, payments and secure file storage. We may also share relevant information with insurers, professional advisers, subcontractors or authorities where necessary. We do not sell personal information.
How long we keep it
Unsuccessful enquiry information is normally retained only for as long as reasonably needed to follow up the request and maintain appropriate business records. Customer, service, accounting and legal records may be retained for longer where required for contracts, taxation, insurance or the defence of claims.
Photographs and service records
Project photographs and videos supplied for assessment are used to understand the work and maintain relevant records. We will not use identifiable customer or property photographs for public marketing without permission.
Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, objection or transfer. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.
